M-DCPS 'ONLINE TO STREAMLINE' TEAM WINS PERFORMANCE AWARD

January 22, 2002

The "Online to Streamline" team from Miami-Dade County Public Schools' Office of Educational Planning and Quality Enhancement received a special award for Greatest Financial Impact at the 12th annual Performance Excellence Conference held last week in Coral Springs.

The award recognizes the office's solution to the problem of processing more than 300 annual school performance excellence plans. The plans, mandated by the legislature, were designed to provide schools with a framework to support all of their school improvement efforts. The variations in format and content presented district office staff with many challenges.

The "Online to Streamline" team was formed to address concerns voiced by internal and external stakeholders over the complexities in formatting the plans for School Board approval. The team approached the problem in a systematic, data-driven manner with dramatic results. With 326 plans to process (31 more than last year), processing time was reduced from 140 staff days to 22; the number of people involved in the process was reduced from 22 to 3; total hours worked were reduced from 1320 to 190; and the cost per plan was reduced from $123 to $16.

The team also developed a presentation detailing these reductions titled, "Restructuring Process to Reduce Staff Hours." For more information, contact Dr. Eduardo R. Rivas, Administrative Director, Office of Educational Planning and Quality Enhancement, at 305-995-2561.
